Board Members' Responsibilities per the By-laws
President
shall be the principal executive officer of the corporation and shall in general supervise and control all of the business and affairs of the corporation. The president shall:
- preside at all meetings of the members and shall preside at all meetings of the directors;
- request at each annual meeting of the members and directors reports of the condition of the business of the corporation;
- cause to be called annual and special meetings of the members and directors in accordance with the requirements of New Mexico law and these by-laws;
- shall sign and execute all contracts in the name of the corporation and all deeds, mortgages, bonds, contracts, notes, drafts or other orders for payment of money or other instruments which the board of directors have authorized to be executed, except in cases where the signing and execution shall be expressly delegated by the board of directors or by these by-laws to some other officer or agent of the corporation or shall be required by law to be otherwise signed or executed;
- cause all books, reports, statements and certificates to be properly kept and filed as required by law; and
- shall enforce these by-laws and perform all the duties incident to the office and which are required by law and generally perform all duties incident to the office of president and such other duties as may be prescribed by the board of directors from time to time.
VP(s) of Fundraising shall:
- solicit chair people and delegate responsibility for each fundraising committee, project and event designated by the board of directors,
- work with the membership chair in the Welcome Coffee,
- require fundraising chair people to complete a written report of the project or event they chair for use by the board of directors and future chair people.
In the absence of the president or in the event of the president’s inability or refusal to act, the vice president of fundraising shall perform the duties of the president, and when so acting, shall have all the powers and be subject to all the responsibilities of the office of president and shall perform such duties and functions as the board of directors may prescribe.
VP(s) of Events shall:
- solicit chair people and delegate responsibility for each non-fundraising committee, project or event designated by the board of directors,
- work with the membership chair in the Welcome Coffee,
- require non-fundraising chair people to complete a written report of the project or event they chair for use by the board of directors and future chair people.
In the absence of the president and the first vice president of fundraising or in the event of the president’s and the first vice president of fundraising’s inability or refusal to act, the vice president of events shall perform the duties of the president, and when so acting, shall have all the powers and be subject to all the responsibilities of the office of president and shall perform such duties and functions as the board of directors may prescribe.
Secretary shall record proceedings at all meetings of the board of directors and of the members of the corporation. The minutes shall include the date and place of the meeting, whether regular or special, the names of those present and the proceedings of the meeting. The secretary shall also:
- provide notice of special meetings of the board of directors and of all the meetings of the members of the corporation;
- maintain a complete and current list of all directors, their addresses and telephone numbers;
- attest the execution of instruments on behalf of the corporation by a proper officer of the corporation; and
- in general perform all duties incident to the office of secretary and such other duties as from time to time may be assigned by the president or by the board of directors.
Treasurer shall be the custodian of all of the corporation’s funds and shall have the care and custody of and be responsible of all funds, property and securities of the corporation. If required by the board of directors, the treasurer shall have such bond as they shall determine appropriate for the faithful performance of the treasurer’s duties. The treasurer shall:
- deposit such funds and securities in the name of the corporation in such banks, trust companies or other depositories as shall be designated by the board of directors.
- make, sign and endorse, in the name of the corporation all checks, drafts, notes and other orders for the payment of money and pay out and dispose of such under the direction of the president and the board of directors;
- maintain complete and accurate financial records of all the corporations business and transactions and shall at all reasonable hours exhibit books and accounts to any director upon request;
- prepare and present an accurate accounting and full financial report of the condition of the finances of the corporation at all monthly meetings of the board of directors and at the meetings of the membership and at such other times as are required; and
- shall further perform all duties incident to the office of treasurer of the corporation including preparing and filing all tax forms required by law.
Membership Chair. The membership chair shall plan, advertise and coordinate the Welcome Coffee and shall also plan and execute the parent donation drive. The membership chair shall submit and file records of the funds collected at the parent donation drive to the President and the Treasurer. Finally, the membership chair shall assist the first vice president of fundraising in coordinating fundraising efforts.
Communications Chair. Shall ensure consistent content and communication of PTC events and activities, the Communications Chair shall coordinate all board communications including flyers, newsletters, website and mass emails. Working with the board and the membership, this person shall coordinate website development and content with the site webmaster. The Communications Chair can also solicit someone and delegate responsibility for developing and distributing the monthly newsletter.
Home Room Coordinator and School District Liaison. As home room coordinator this person shall coordinate the home room representatives in their responsibilities as designated by the board of directors. In addition, the person holding this position shall serve as the liaison between Wood Gormley elementary school and the Santa Fe public school district. As school district liaison, this person shall make oral reports as necessary to the board of directors and the members concerning district meetings attended.
Co-Officers Unless the Board determines otherwise, any elected position set forth in this Article V, Sections 1 through 8, may be filled by two persons who both agree and commit to perform jointly and equally the duties and exercise jointly and equally the powers incident to that position to which they are elected, so long as each Co-Officer was duly nominated and elected pursuant to the provisions of these By-Laws. In the event that a Co-Officer's vote is required by these By-Laws or otherwise, one vote shall be designated to the shared position, and the Co-Officers shall jointly exercise the single vote; if the two Co-Officers cannot agree on a single vote, no vote shall be cast for the applicable position
Members at large vote on Board matters, provide historic continuity through changes in Board Membership and represent Members at large.

Welcome to the WG Parent Rep information page
The Parent Reps are essential members of the WG parent community. Together with the PTC and parent volunteers, they participate in organizing activities, fundraising, teacher support, field trips, class events,and more.
This page is focused on communication to facilitate the year-long work done by Parents Reps. The goal is for Parent Reps, parents, teachers and members of the WG community to access this site in order to find information about the role of the parent Rep. There will be information about who the Rep is and what she/he does, fund raising and event information ,forms, updates on the PTC/Parent Rep relationship as well as The Santa Fe Public School District, and much more.
Our thanks to all those who have volunteered to be Parent Reps this year for all the hard work they have already done to make Wood Gormley School such a wonderful place to learn.
What is a parent Rep and how do I Become One?
A parent Rep is described in more detail below, but basically it is a parent who wants to help out their teacher, students, and school community. A Rep signs up at the coffee meeting on the first day of school, and if the teacher is agreeable, the Rep starts helping with parties and field trips, getting volunteers in your class to help with the Fall Festival and getting the school year in gear. The Parent Rep Coordinator is a Board member who helps you figure out how to do things and passes on your class' communications and ideas to the PTC Board.
Wood Gormley Elementary School – Parent Rep/Class Parent
Job Description
The Parent Rep will enhance the classroom experience for all children by organizing other parents of the class to provide support to the class teacher in a variety of ways. The level of involvement/participation will be determined by and agreed upon by both the teacher and class parent.
Activities may include but are not limited to:
¸ Determine best plan of communication between Parent Rep and teacher in order to disseminate information regularly (weekly) to all parents in class;
¸ Organize class involvement in the Fall Festival;
¸ Organize class parties or activities;
¸ Recruit parent volunteers for tutoring, reading to students, working on projects or presenting on special topics, field trip chaperones or other roles as defined by teacher;
¸ Be a contact for distributing information and fundraising and other volunteer requests from the PTC to all parents in class;
¸ etc.
The Parent Rep should meet with the teacher during the month of September to determine his/her role.

Where do I get sign up sheets, reimbursement forms
There are blank reimbursement forms in PTC Treasurer mailbox in the copy room ( located in the wall beyond the principal's office,to the left of the main entrance to the school).
How do I help The Teacher with Class Parties and Field Trips
The teacher in each class has different needs and preferences. Parent Reps should follow the wishes of the classroom teacher in providing support. New teacher's may need guidance on how things work at Wood Gormley.
